Services Included in the Registration Fee;
  • The congress registration fee includes a name badge, participation in scientific meetings, the congress mobile program and abstract information, printed congress materials, the digital book of abstracts and credited sessions, and a participation certificate.
  • If accommodation is not arranged through the agency, a daily external participation fee of €95 (including VAT) will be added to the registration fee.
  • Prices do not include 20% VAT.
Registration Cancellation and Refund Policy;
  • Registration cancellations must be sent in writing or via email to the Congress Organization Secretariat (tugce.ercan@burkon.com) along with the payment receipt.
  • If a cancellation request is made by August 1, 2025, the full balance will be refunded.
  • For cancellations made between August 1 and October 1, 2025, a 50% deduction will be applied.
  • No cancellations or refunds will be accepted after October 1, 2025; however, name changes will be allowed.
  • Requests and changes regarding registration reservations must be communicated to the organization secretariat in writing.
  • Refunds will be processed within 30 business days after the cancellation request. Any transfer fees will be deducted from the refunded amount.
  • Burkon Tourism, in accordance with the T.R. Ministry of Finance and the Tax Procedure Law (V.U.K.), will reflect any changes in the specified tax rates or additional tax liabilities accordingly.

Services Included in the Accommodation Fee;
  • The accommodation service includes a 4-night stay from Saturday, December 13, 2025 (check-in) to Tuesday, December 17, 2025 (check-out) on an all-inclusive basis. Requests for accommodation on different dates should be sent via email to tugce.ercan@burkon.com.
  • Hotel check-in time is 14:00, and check-out time is 12:00. Early check-in and late check-out will be charged as extra. Hotels are not obliged to allocate rooms to participants outside these hours but will assist based on availability. Assistance will be provided for luggage storage in case of early arrival or late departure.
  • If accommodation is not arranged through the agency, a daily external participation fee of €95 (including VAT) will be added to the registration fee.
  • Discounted accommodation rates are valid until September 1, 2025. Payments made after this date will be subject to the standard rates.
  • Each accommodation package is valid for one person and cannot be shared or split among multiple individuals.
  • Accommodation prices do not include 10% VAT and 2% accommodation tax.

External Participation Fees

  • Participants who do not book accommodation through the Congress Organization company and only register for the congress without staying at the congress hotel must pay an additional daily external participation fee of €95 (including VAT) in order to benefit from the services within the hotel concept, congress-specific refreshments, and social events during the period from December 13-17, 2025, between 09:00 and 18:00. If the external participation fee is not paid, the congress registration will not be valid.
  • The external participation fee applies to all participants and company representative guests, regardless of the registration type. This fee includes access to the congress center during the scientific program and activities, lunch meals, and refreshments provided at the congress center.

  • The transfer prices do not include 20% VAT.
  • Transfer prices are valid when there are at least 3 people in the vehicle. Private transfers for companies will be priced separately. For mid-day and private transfers, please contact transfer@burkon.com.
  • Transfers will be conducted collectively on the arrival and departure days.
  • In order to plan the transfers, transportation tickets must be sent by email to transfer@burkon.com at least 15 days before the congress start date.
